Create and publish an event
An event stays private until you publish it. Publishing is what opens your registration or ticket page to the public.
- Go to Events and start a new event. You can write the details yourself or start from a generated draft and edit it.
- Fill in the name, date, time and location. The time you enter is the time your guests see, so set it in the timezone the event actually happens in.
- Open the Setup tab to add your agenda, speakers, partners and the words that sell a seat.
- Decide how people get in: a free registration form, a paid ticket, or an application you approve before payment.
- Press Publish Event. Until you do, the public page is not live and nobody can register.
- After publishing, copy the public link from the event and use that one link everywhere.
To stop taking sign-ups, open Setup then Registration. "Pause registrations" closes the form and leaves your page up. "Unpublish event" takes the page down and asks you to confirm first.
Who is coming, and who has paid
Admission and payment are two separate things. Someone can be approved and still owe you money, and someone can pay and still not have arrived.
- The Attendees tab is the list of people. It is where you approve, waitlist or decline anyone who applied.
- Approving somebody on a paid event does not collect the money. They still have to complete checkout before they hold a seat.
- A paid registration only counts once the payment is verified. A guest who closed the payment page halfway has not bought a ticket, whatever the last screen said.
- Attendance is separate again. It only becomes true when the person is checked in at the door.
- If a guest says they paid and has no ticket, ask them for the email address they used and the time they paid, then write to us with both.
Free registration and paid tickets can both exist on the same event. The same person showing up in both is one person, not two.
Emailing your guests
GoAvo sends the essential emails for you. Anything else you want to say, you send yourself.
- Sent automatically: the confirmation when somebody registers, and the ticket with the QR code when a place is confirmed or paid for.
- Reminders before the event are a setting, not a default. Turn the reminder on yourself if you want one to go out.
- To write to your guests, use the email option on the event and pick who it goes to.
- Send yourself a test first and read it on your phone. What the editor shows you is a preview, not the email.
- Emails go from GoAvo on your behalf. Tell people who you are in the first line so it does not read like a platform notice.
Ticket, payment and cancellation emails are service messages. They are not part of any outreach allowance and do not stop when one runs out.
Running the door
Check-in is on the event, under the Check-in tab. Open it on the phone you will actually hold at the door.
- Open the Check-in tab on the event before doors open, and keep it open.
- Scan the QR code from the guest ticket email, or search for the person by name or email and check them in by hand.
- The counter and the list are the same number. If they disagree, reload before you start doubting the list.
- Scanning the same person twice does not count them twice. It shows you that they are already in.
- If self check-in is switched on for your event, guests can check themselves in from their own ticket. You still see every arrival in the same list.
- A guest with no ticket and no registration is not on the list. Register them there if you are willing to let them in, then check them in.
A person opening their ticket is not the same as a person arriving. Only a check-in counts as attendance.
Reading your results
The Results tab is what happened. It only reflects what the product actually recorded.
- Registrations are people who filled in your form or bought a ticket.
- Attendance is people with a check-in on the day. It is always lower than registrations, and that is normal.
- Money is shown as what was collected. Fees and refunds are not the same line as gross, so read the label before you quote a number.
- If a number looks impossible, it usually means the two sides are counting different groups. Tell us what you saw and on which screen.
Nothing on Results is an estimate unless it says so. If a panel has no data yet, it says so rather than guessing.
